DOT compliance software for maintenance and inspection records
CDLBoss tracks the annual inspection on every truck and trailer, keeps a dated record of every repair and inspection, and gives you a clean PDF when an auditor, insurer or buyer asks for it.

Who it's for
For safety and maintenance managers who need to know, at any moment, which units have a current annual inspection and where the records are.
The problems it solves
Annual inspections lapse quietly
Nobody notices a trailer's inspection expired until it's written up at a roadside inspection.
Records are scattered
Inspection reports, repair invoices and driver reports sit in different folders, inboxes and filing cabinets.
Pulling records takes days
When records are requested, someone has to dig through paper to put the file together.
What CDLBoss does
Annual inspection tracking
Every truck and trailer gets an annual inspection schedule with a due date, so you see what's coming due and what's overdue.
Inspection reports on file
Drop the inspection report in and it's stored on the unit with the date and result, next to its full maintenance history.
Maintenance records by unit
Unit identification, the schedule of what's due, and a dated record of inspections, repairs and maintenance, the kinds of records 49 CFR 396.3 describes.
Nothing is deleted
Service history stays with the unit, including units you sell or retire, which are archived with their records instead of being erased.
PDF record packets
Download records for one unit or the whole fleet: inspections, PM services, repairs, driver inspections, costs and upcoming items.
Roadside inspection reports
Drivers send the report from a roadside inspection with photos, and the office sees it right away.
Driver inspection reportsPro plan
Pre- and post-trip reports on the phone, with repair certification and the next driver's review recorded.
Full audit trail
Every change is logged with who made it and when, including approvals with before and after amounts.
What you get out of it
- Know which units have a current annual inspection without checking paper files
- Records organized by unit and ready to download
- Reminders before inspections are due, not after
- One place for inspection reports, repair invoices and driver reports
CDLBoss is a record-keeping and reminder tool. It helps you keep the records the regulations describe, but compliance depends on the inspections and repairs actually being done, by qualified people, and on the records being accurate. It doesn't make a carrier compliant on its own and isn't legal advice.
Questions
How often does a commercial truck need an annual DOT inspection?
Under 49 CFR 396.17, each commercial motor vehicle, including each trailer in a combination, must pass a periodic inspection at least once every 12 months, and proof of it must be on the vehicle.
How long do we have to keep annual inspection reports?
49 CFR 396.21 says to keep the original or a copy for 14 months from the date of the report, where the vehicle is housed or maintained. CDLBoss keeps them as long as your account is active.
How long do we keep maintenance records?
49 CFR 396.3 says for 1 year where the vehicle is housed or maintained, and for 6 months after the vehicle leaves your control. CDLBoss doesn't delete them, even for archived units.
Does CDLBoss guarantee we pass an audit?
No software can. CDLBoss keeps your records organized and reminds you what's due. The work itself, and its accuracy, is still up to your team.
