Fleet maintenance cost tracking
Track maintenance costs for every truck and trailer
CDLBoss records what each repair, PM and inspection actually cost, ties it to the unit and the shop, and shows you where the money goes. Estimates and approvals are kept separate from what you paid.

Who it's for
For owners and maintenance managers who want to know what each unit costs to keep running, which shops they spend the most with, and when a truck is costing more than it's worth.
The problems it solves
Invoices are hard to add up
Repair bills sit in email, paper folders and accounting software that doesn't know which truck they belong to.
Big repairs get approved by accident
A shop calls, someone says yes, and the bill is twice what anyone expected.
The same repair keeps coming back
Without history by unit, nobody notices the third alternator this year.
What CDLBoss does
Costs on every unit
Each expense is tied to a truck or trailer, a category and a shop, with the invoice attached.
Several jobs per work order
One shop visit can cover a DOT inspection, a PM and a repair. Each job can carry its own parts and labor price if you want that detail.
Estimates kept apart from actual spend
Record the estimate and the approved budget, then the actual cost. Reports only count what was actually paid.
Approval limits
Managers approve up to the limit you set. Anything above goes to the company admin, with the amounts logged.
Spend reports
Spend by unit, category and shop, trucks versus trailers, plus downtime, repeat repairs and on-time PM rate.
Who pays
Mark costs as paid by the company or an owner-operator, and split them when they're shared.
Warranty reminders
Repairs still under warranty show up on the unit, so you check before paying for the same fix twice.
Invoices filled in for you
Drop in an invoice and CDLBoss reads the shop, date and amounts into the record for you to check.
What you get out of it
- Know what each truck and trailer costs to keep running
- Catch repeat repairs and expensive units early
- Control big repairs with approval limits
- Better numbers for budgeting and deciding when to replace equipment
Questions
How do we track maintenance cost per truck?
Record each repair, PM and inspection cost against the unit it was for. CDLBoss totals it per unit and per period in the reports. Our guide on tracking maintenance costs per truck covers the method in more detail.
Can we track costs for owner-operators separately?
Yes. Each expense can be marked as paid by the company or the owner-operator, or split between them.
Does CDLBoss connect to our accounting software?
Not directly today. CDLBoss is where maintenance costs are recorded by unit and shop; your accounting system stays where payments are made.
Can we see cost per mile?
CDLBoss shows spend by unit and period. Mileage is recorded on each unit, but a cost-per-mile report isn't available yet.
